Hire Terms & Conditions For Flower Walls Southampton

1. Booking/Deposit
Our products and services are not booked until a deposit has been received.
If you would like to save your date with us we require a nonrefundable 50% deposit which will be deducted from your final invoice. Deposit amount depends on what you have booked, please contact us for a quote. The deposit is NONREFUNDABLE and you cannot make changes to your order/date after paying the deposit. If you decide to cancel any hire items off your order, the total remaining balance will remain the same. For example, if you book a flower wall and a doughnut wall, then decide you do not want the doughnut wall, you will still be required to pay the full amount for the doughnut wall.

The final invoice is required to be paid 14 days before your event date, if not paid on time then we will cancel your booking and keep your deposit. After the remaining balance is paid, it cannot be refunded as we would have started preparing for your booking.
2. Responsibility
All items supplied to you on a hire basis remain the sole property of Flower Walls Southampton Limited. All hire items are the responsibility of the hirer (you) and not the responsibility of your venue or event planner. We ask that you communicate with your venue to ensure the security of all hire items in your absence. The Southampton Flower Wall Company provides all items for hire in good working order and these items must be returned in the same condition that which they were supplied.
3. Public Liability Insurance
Flower Walls Southampton is fully insured up to the value of £100,000. We can provide a copy of our insurance policy certificate to you or your venue, please email us for more information on why you might need this.
4. Silk Flower Walls and Props
The hire price of our silk flower walls and props includes full set up and breakdown. Due to the structure of our flower walls and other backdrops we respectfully ask that they are not moved or taken down by anybody other than an employee of Southampton Flower Walls & Events to avoid damage. We pride ourselves on providing luxury products, therefore any silk flowers missing from the wall or any other arrangements will be treated as a loss/theft and you will be invoiced for them.
5. Cancellation/Amendments
In the event of a cancellation your deposit is non-refundable and will therefore be retained. Should you need to change the date of your event we will try to provide the items you require for your new date, however we cannot be held responsible if the new date is not available and the deposit is retained. We recommend that you purchase wedding/event insurance to cover any losses in the event of cancellation.
If you cancel within 2 weeks of your hire date we can not provide you with a new date and your deposit will not be refunded.
6. Delivery/Collection
Delivery and collection is not included in our hire charges. The fee's are included on your quote.

7. Damages
Upon collection we inspect for any damage, vandalism and missing items and you will be issued an invoice for immediate payment for any replacements or deep cleaning that is required after your event. Should you wish to receive a full breakdown of replacement charges before you make your booking please contact us.
8. Photography
Southampton Flower Walls & Events reserves the right to use any photography of our products and services taken during the hire period. Any photography will be used for promotional purposes on our website and/or social media. If you have any objections to this please let us know in writing prior to your event.

9. Outdoor Set Ups
Our flower walls cannot be set up outdoors unless inside a marquee with flooring.
If requested we may be able to set up outdoors without a marquee, however the flower wall must be placed in front of a tall wall/fence, we would have to collect it on the same night and if there is a chance of rain/wind we can and will refuse to set up outdoors and your full balance will be retained.

10. Size Of Our Flower Walls
All flower wall sizes are listed on our hire page, it is your responsibility to ensure that there is enough space where you would like the flower wall placed. For our 8x8ft walls we require a minimum of 8ft width of space and 7ft in height.
If we arrive and there is no space to set up our flower wall we may refuse to set up and take full payment.

11. Latex Allergies
All of our balloon displays contain latex. Southampton Flower Walls And Events are not liable for any allergy related issues with latex.

12. Balloon Lifespan
Our balloons are only guaranteed to last for 24 hours - we are not liable for any deflation after 24 hours of setting the balloon displays up.

13. Hire Timings
Prior to your event we will ask you for a set up time and day and a collection time and day, if you change any of these within 48 hours of your hire or during your hire you may be invoiced for an extra payment.
